Your Spotlight information
HCITalks uses the professional details and photograph you provide to prepare your Spotlight. Uploads stay private; only details you approve appear in your exported image. A LinkedIn profile is still personal information. Provide only your own information and company materials you have permission to use.
What goes where
The Studio stores your draft, source files, approved versions and consent. Our configured AI processor may read professional source text to propose facts. Your photograph is cropped for the layout, not regenerated. HubSpot receives your email, approved name, role, company and processing consent; raw PDFs and photographs are not sent to HubSpot. This does not apply for membership or subscribe you to marketing.
Your private session
No account is required. An essential secure cookie keeps your draft accessible on this browser for 30 days. Someone using the same browser could access your draft. Download before clearing cookies; there is no email-based recovery without verifying your identity.
Retention and your choices
Raw uploads follow the Studio’s configured retention policy (30 days by default), and generated artwork follows its configured retention period (365 days by default). Use Privacy and data controls in the Studio to export data or request deletion. Consent and publication receipts may be retained where required for an audit. For HubSpot records, processor retention, or requests after your browser session expires, use our contact page. See the HCITalks privacy policy for your rights and contact details.
Required HCITalks publication permission
Before generation, you must explicitly permit HCITalks to publish your finished Spotlight and accompanying introduction, including your name, professional details and portrait as shown in the Spotlight, on its website, social media platforms and community channels. If you do not accept, the Studio will not generate a Spotlight. This permission covers the finished introduction, not public access to your uploaded PDF or original image file. The Studio records the notice version, acceptance time and a notice fingerprint. Membership alone is not treated as permission.
HCITalks distribution uses its existing publishing workflow. Generation does not itself send a post. Published copies can remain after the private draft expires. Contact HCITalks to withdraw permission for future publication or request removal from channels it controls; other people’s reshares may remain.
Your own LinkedIn account
Connecting LinkedIn is optional and separate from creating or downloading. Before publishing, you approve the exact image, caption and connected account. Deleting Studio data cannot remove a LinkedIn post or someone else’s reshare.
Verification
The QR code verifies the Spotlight’s issuance, file fingerprint and revision status. It does not verify your identity, employment or qualifications, and does not grant membership. The verification page never exposes your uploads, email or private image.
